Safety Management System Components

Safety System Monitoring
Track compliance for the various components of your organization's safety program, such as training courses completed, policies acknowledged, and safe work procedures reviewed. Our online health and safety management system makes it easier to meet and exceed industry standards, such as Enform IRP 9, CSA Z-1000, and OHSAS 18001. View compliance graphs by location, position or employee. Even trend historical compliance levels to determine if your program is improving or deteriorating.

Audit Preparation and Review
Enable one or more safety audit protocols (such as the Enform Certificate of Recognition). Each audit element is organized into bullets, for which you can do a self-assessment to determine if your organization is "Compliant", "Deficient", or if the requirement is "Not Applicable". Link to any component or feature in the SafetySync software that helps prove due diligence and earn the appropriate score (if applicable). Attach Word, Excel, PDF and other documents to each bullet.

Policy Distribution and Acknowledgement
Edit and post all your company policies and make them available to positions withing your organization. Employees are then required to read and acknowledge each policy. Automatic versioning makes it simple to track minor modifications and major changes. Print out a hard copy of the company safety manual at the click of a button. The system reminds administrators when policies are due for renewal (at the interval of your choice - but usually annually).

Safety Awareness Training
An effective orientation and training program is a proven way to ensure your employees are informed of their responsibilities and expectations. The Safety Awareness Training component allows administrators to assign courses based on positions, and choose which lessons to cover. Quizzes verify your employees' understanding of the material presented. Administrators can choose which questions to ask, set pass rates, and specify when renewals are required.

Employee Certificate Tracking
Enter your employees training certificates in a centralized system, and view them from anywhere there is internet access. The system will warn employees when certification is coming due or expired. Track certificates generated through the SafetySync training, or any third party certificate (such as First Aid or H2S Alive). Schedule upcoming training sessions and the system will send the employee an appointment notice and reminder.

Organizational Chart & Responsibilities
Create your organizational chart simply by adding positions and having them report to other positions. Color each node however you like to distinguish various departments. When users click on a position in the Organization Chart, the system displays the job description for the position (including safety responsibilities), and a list of employees in that role. If an employee photo has been uploaded for an employee, that photo will appear on the Org Chart.

Emergency Contact List
Create your Emergency Contact List simply by adding positions and entering their contact information (location, phone numbers, email addresses). Designate key employees as Emergency Response Coordinators, First Aid Attendants, Fire Wardens, Public Relations Spokespersons, Designated HSE Representatives or Joint H&S Committee Members. The contact list automatically updates as employees are added or removed from the system.

Safety Bulletins and Alerts
This tool is great for keeping everyone up to date on safety issues. Post news, announcements and alerts to all employees or specific positions and locations. Distribute within the system or by email, and employee review is tracked automatically. Attach images (thumbnails are displayed on the bulletin) and other documents. History is maintained for all past bulletins. This is a simple and efficient way to satisfy OH&S requirements for regular safety-related communication.

Safe Operating Procedures
Safe Operating Procedures (or Safe Work Procedures as they are sometimes called) list all steps, hazards, risk levels and controls that provide your workers with the information they need to do each job correctly. Administrators can attach a picture to each step. Set the risk level simply by clicking on the appropriate probability and severity levels in the risk matrix. Upload a procedure in PDF format, or better yet, link to a video you've recorded of the task being performed properly.

Competency Assessments
Competency Assessments are used to determine the ability of a worker to perform specific activities to agreed-upon expectations (Performance Criteria). It lists the skills required to do a job properly. Supervisors log on to the system after having observed an employee to evaluate the employee's skills against the criteria. Employees can view the requirements and later review the rating scores.

Critical Behavior Observations
The purpose of an observation and feedback process is to reduce injuries significantly by focusing on critical behaviors, such as attentiveness, following safe operating procedures, and wearing personal protective equipment. Administrators can choose from standard observation card formats, including POINT, Safe Track, and STOP. The system automatically compiles reports for tracking and trending critical behaviors across your organization.

Safety Forms
Choose from our template safety forms or upload your own, then make them available to your employees through the Employee Safety Portal. Supported file formats include Adobe Acrobat (.pdf), Microsoft Word (.doc) and Excel (.xls). Employees can fill in the forms on the computer, or print them out and fill them in by hand. Not only will you save the costs of printing and mailing out booklets, but you'll never run out of forms again!

Recordkeeping
Eliminate reams of safety paperwork by storing all your completed forms online. An employee can fill in the appropriate form electronically and email it into the system. Or they can print it out and fill it in manually, after which they simply scan and upload or fax it to our toll-free service. Records can be searched by form type, location, date and submitting employee. Records are routed to an administrator for approval. Records are the basis for the Corrective Actions component.

Deficiencies and Corrective Actions
This component works in conjunction with our 'Recordkeeping' feature. Certain records, such as safety meetings, inspections, and incident investigations can identify deficiencies. Each deficiency must be addressed by developing a corrective action plan, which are assigned to an individual, assessed for priority, and given a due date. Once deficiencies have been corrected, the individual marks the Action Item 'complete', which automatically advances the item for management "sign-off".

Equipment Tracking
Enter your equipment specifications, such as Equipment ID, Year, Make, Model, Serial Number, Description and so on. Upload a photo of each piece to help identify your equipment. Assign forms (such as inspections or recertifications) at a specified frequency (weekly, monthly, annually etc.) to each piece of equipment and then track the equipment's compliance with recordkeeping requirements. Equipment tracking integrates automatically with the Deficiency and Action Item software module.

Legislation Links
Determine the legislation from various jurisdictions that is applicable to your business. Simply select acts and regulations from our pre-populated list to create an up-to-date collection. Employees will then be provided links to the government website with the relevant legislation. Employees can quickly and easily obtain, search, read and print regulations that are appropriate for your business.

Material Safety Data Sheets (MSDS)
WHMIS and HazCom regulations require Material Safety Data Sheets be available at every work site that has hazardous chemicals. Upload material safety data sheets in many common image file formats (pdf, tif, jpg, etc.) All employees will have access to search and view any MSDS in the list. Print workplace labels at the click of a button. Assign a 'Date of Preparation' to each MSDS, and the administrator will be notified when the 3-year expiry approaches.

Contractor & Visitor Orientations
These are short lessons that are taken by contractors and visitors to company sites. Topics typically include site hazards, basic safety guidelines and responsibilities. Workers access the orientations from any computer on the intranet, provided they key in their name, organization and password. Prime contractors provide us with pre-recorded videos, animations, or PowerPoint presentations. If your organization doesn't have an orientation, SafetySync can help you create one.

Corporate Credentials
Your organization has worked hard to achieve accreditation for your safety, training, environmental, quality and other business initiatives. Upload these credential documents to the system and share them with you employees on a "brag wall", similar to what would be found in most reception areas. If you specify an expiry date, the system will remind the administrator when they are to be renewed.

Food Safety and HACCP
Available to members of the Alberta Food Processors Association only, this component allows food producers, processors and distributors to manage their HACCP plans. It also includes additional training courses related to food safety and HACCP. It also includes additional audit protocols related to food safety (both provincial and federal).

Employee Perception Surveys
Would you really like to find out how effective your company safety program is (or any other initiative)? Ask your employees and managers what they think! Perception surveys will acquire and organize information about the many aspects of your safety program or culture. Adopt our template questions or develop your own. Questionnaires are anonymous.

Joke of the Week
What do jokes have to do with Safety Management? Not much really. The jokes are simply meant as an incentive / reward for completing a pre-determined number of elements of the safety program (set by the administrator). The narrative-style jokes are told by Malcolm, our computer-generated comedian. All jokes are clean and tasteful. Enjoy!

Safety Rewards (Points)
Safety Rewards are used to reinforce safety awareness and/or compliance. This component allows administrators to purchase safety points from SafetySync and distribute them to employees, who in turn can redeem for hundreds of rewards, all at MSRP equivalent prices or lower. Points can be assigned to employees for traditional incident free work, or they can be earned by completing various elements within the safety management system. Items are shipped direct to the employee.
